Before marking a container as Finished, its balance in LogButler must be zero, requiring an adjustment to account for the discrepancy. These adjustments ensure accurate recordkeeping and compliance with DEA regulations while accounting for unavoidable variations in medication volume.
If LogButler still shows a positive or negative balance when the container is empty, follow these steps:
- Verify Your Logs – Ensure all administered doses and waste logs have been correctly entered.
- Confirm the Discrepancy – If the balance is still incorrect after verification, a manual adjustment is required.
- Document the Adjustment – Enter a comment explaining the reason for the discrepancy.
Once the container status is changed to Finished, the adjustment section will automatically populate.
- If the balance is positive, select "Adjust Current Balance Down" to correct the discrepancy.
- If the balance is negative, select "Adjust Current Balance Up" to account for missing volume.
Common Reason for Discrepancy
Manufacturer Overfill
Pharmaceutical manufacturers often overfill containers slightly beyond the labeled volume, which can cause LogButler to display a negative balance once all documented withdrawals are entered.
Example: If LogButler warns of a negative balance but there is still liquid in the container, continue using it until it is completely empty. Once finished, mark the container as Finished, then adjust the balance up and enter "manufacturer overfill" as the reason.
